Hillcrest Quarry Wedding Package

Thank you for choosing Hillcrest Estate Durbanville for your Wedding.

Herewith our Function information:

 

     1.     Venue Hire:

 

The function will be held in the quarry located on Hillcrest Estate.

We are able to accommodate a maximum of 120 guests in the Marquee (If the Marquee is closed), with allocated space for dancing. More guests can be accommodated on request.

 

          2.         Function venue includes:

 

*         Venue set-up in the quarry

*         A Marquee tent 15m x 12m

*         Tables & Chairs

*         A manager on duty from an hour before the function to the end.

 

     3.     Event Coordinator

 

Event Coordinator is available to assist you with décor, hiring, flowers and catering at an additional fee.

     4.    Ceremony:

 

You are more than welcome to have your wedding ceremony on our premises. Any décor or flowers that you use in the area will be for your account. We can make arrangements to sign your register in one of the buildings above the quarry.

 

     5.     Marquee and seating arrangements :

 

We make use of our 15m x 12m white marquee. Additional extensions can be hired on request. At the clients expense.

 

     6.     Music, Décor, Flowers, Catering, etc.

 

The above mentioned are to be the responsibility of the client. Our event coordinator will be able to assist you with all the arrangements.

 

Catering can be provided by Flavor, menu’s attached. We work with this catering company as they know the limitations the quarry has and have worked around them. Other caterers can be used but please note they charge R 5 000.00 – R 7 000.00 additional for kitchen equipment.

 

Musicians will need to bring with them any equipment and electrical extensions required and set-up at lease 30 minutes before the function begins. Please bear in mind that musicians usually require dinner and space will need to be allocated for them in your seating plan. Hillcrest Estate Durbanville will not be held responsible for damaged or lost goods which are hired in by the client such as sound equipment.

 

    7.      Bar facilities:

 

Guests are permitted to bring their own drinks on to the property for their bar. Drinks are allowed to be distributed, not sold. Bar tenders can be provided upon request.

 

Only Hillcrest Estate wines purchased from our cellar may be served. A list of our current wines and prices is attached for your perusal. Wines will need to be pre-selected.

 

     8.   Damage to properties:

 

A Breakage amount of 20 % of the rental will be required to cover potential damage to property. This needs to be paid with your venue fee deposit. This deposit will be refunded to you after the function. If the damage exceeds the breakage amount, these costs will be added to your account.

 

     9.     Bookings:

 

Bookings will not be confirmed until we have received the completed booking form , the signed venue hire agreement and we have been provided with proof that the non-refundable deposit has been paid. The total venue hire must be paid 7 days prior to the event.

 

Once we have received confirmation of the functions, the menu’s, décor, etc. will be discussed with you in detail and adjustments can be made.

 

     10.    Deposits:

 

To secure you booking a non-refundable deposit of 50 % of the venue fee will be required in order to confirm your reservation. Provisional bookings will only be kept for 30 days. The deposit is to be paid into our bank account with a copy of the deposit slip faxed to 086 549 1896. The banking details are as follows:

     11.     Notes:

*         The venue fee is vat inclusive.

*         All quotes are valid for 2 Months from the date thereof. If a function is booked more than 2 months in advance, menu and venue prices are subject to change.

*         All hiring at the clients request will be for the clients account

*         All outstanding balances need to be settled immediately or within five days after the function date.

*         No smoking or cooking is permitted in the Marquee

*         Closing time for evening functions is 01:00

*         Closing time for a bar is 00:00

*         Closing time for any type of music is 00:30
